Loxo Client Portal Tutorial

Loxo is our ATS system where you will be able to see the entire pipeline we have generated for your role. This is a place for you to check out how many candidates we’ve reached out to, the types of profiles we are targeting and most importantly to review submitted candidates.

Please watch the video or follow the instructions below to access and use the client view in Loxo.

How to access Loxo Client Portal

  1. In your Slack Channel we will post your access link and pin it for easy accessibility. When we submit candidates we will notify you in Slack and link your Client View link within that submission. There is no log in required.

Columns: There are 17 columns within your Loxo job. Each represents what stage the candidate is in.

  1. Loxo AI Sourced/Talent Pool - Candidates we are gathering for ongoing searches

  2. Applied - Candidates that have applied through our job board

  3. 1st Contact - Candidates we have reached out to at least once

  4. InMail - Candidates that we are actively targeting without an email address

  5. Campaign - Candidates that we are actively targeting

  6. Unresponsive - Candidates that we have actively targeted that have not responded within a certain time period

  7. In Progress - Candidates we are conversing with to provide more information about the role

  8. Rejected Candidate - Candidates who are not interested in the role

  9. Phone Screen - Interested candidates that we have scheduled a phone screen with

  10. Rejected Recruiter - Candidates that do not align with the role

  11. Rejected Client - Candidates that you have decided do not align with the role

  12. Client Review - Candidates that we have submitted to you and are waiting for feedback on

  13. Client Interview - Candidates that have been approved for an interview with your team

  14. Case Study - Candidates that are in the second stage of your interview process

  15. Final Interview - Candidates that are the final stage of your interview process

  16. Offer - Candidates that have been extended an offer from your team

  17. Hired - Candidates that accepted an offer from your team

How to review a candidate

  1. Open your Loxo Client Portal

  2. Navigate to the Client Review column

  3. Find the candidate you’d like to review and click their name

  4. Review our call notes and feedback in the Highlights section

  5. Review their scorecard rating based on the rubric you and your recruiter aligned on during the kickoff of your role

  6. Review their work experience either from the Profile tab below the Highlights section or select the Resume tab view and download their full resume

  7. Use the section at the top to leave your assessment

    1. If you have any notes type them in the assessment section

    2. Select No, Maybe or Yes to inform your recruiter if they should or should not move the candidate forward in the process or if you have any additional questions before making that decision

How to screen a Candidate

Use the following steps to leave notes and feedback on a candidates interview

  1. Open your Loxo Client Portal

  2. Navigate to the Client Interview column

  3. Find the candidate you’d like to assess and click their name

  4. From your call with the candidate you can leave submit the following

    1. Scorecard rankings based on the rubric for the role

    2. Overall recommendation on the candidate to continue the process:

      1. Strong No - completely misaligned with role

      2. No - not right for the role

      3. Yes - is a fit for the role

      4. Strong Yes - great for the role

    3. Summary, which can include call notes, feedback, next steps or any questions you might have after your call

How to download candidate resumes

  1. Use the following options to download/view a candidate’s resume

    1. Open the candidate profile, navigate to the resume tab, and select the download icon in the top right above the candidate's resume

    2. On the main page navigate to the candidate you’d like to view and underneath their name select the resume icon

      1. Select either Download Resume or View Resume from the dropdown
